1 Login Scenarios

1.1 Login in as Admin

1.1.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Click on Log In button at top right corner and use below credentials to Sign in:
  • Username - <outreach-admin@vlabs.ac.in>
  • password - <password>

1.2 Login in as Outreach Coordinator

1.2.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Click on Log In button at top right corner and use below credentials to Sign in:
  • Username - <outreach-coordinator@vlabs.ac.in>
  • password - <password>

1.3 Login in as Nodal Coordinator

1.3.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Click on Log In button at top right corner and use below credentials to Sign in:
  • Username - <nodal-coordinator@vlabs.ac.in>
  • password - <password>

2 Admin Scenarios

2.1 Dashboard

2.1.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Admin (Please follow the steps mentioned in Login Scenarios)
Step 3
Click on Dashboard button from left menu bar.
Step 4
Admin Dashboard will show the following Details:
  1. Total Number of Workshops Run - Click on this to view all the workshops with details of each workshop
  2. Total Number of Outreach Coordinators - Click on this to view all the Outreach Coordinators
  3. Total Number of Nodal Coordinators - Click on this to view all the Nodal Coordinators
  4. Total Usage - Click on this to view the total Usage per institute
Step 5
Click on Logout button from top right corner to exit. or else continue with other scenarios

2.2 Add Outreach Coordinator

2.2.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Admin (Please follow the steps mentioned in 1)
Step 3
Click on Manage Outreach Coordinators button from left menu bar.
Step 4
Click on Add Outreach Coordinator button to add new Outreach Coordinator.
Step 5
Fill the details of the Outreach Coordinator and Click on Submit button. (All fields are mandatory)
  • Name - <outreach coordinator name>
  • Email - <outreach coordinator email>
  • Institute Name - <outreach coordinator institute>
Step 6
Newly added Outreach Coordinator will be added at the end of the Outreach Coordinators Details list.
Step 7
Click on Logout button from top right corner to exit. or else continue with other scenarios

2.3 Edit/Update the Details of Outreach Coordinator

2.3.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Admin (Please follow the steps mentioned in 1)
Step 3
Click on Manage Outreach Coordinators button from left menu bar.
Step 4
Click on Edit button to edit the details of an Outreach Coordinator.
Step 5
Update any of the following details of the Outreach Coordinator and Click on Submit button. (All fields are mandatory)
  • Name - <outreach coordinator name>
  • Email - <outreach coordinator email>
  • Institute Name - <outreach coordinator institute>
Step 6
Updated details of Outreach Coordinator will be reflected in Outreach Coordinators Details list.
Step 7
Click on Logout button from top right corner to exit. or else continue with other scenarios

2.4 Delete Outreach Coordinator

2.4.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Admin (Please follow the steps mentioned in 1)
Step 3
Click on Manage Outreach Coordinators button from left menu bar.
Step 4
Click on Delete button to delete an Outreach Coordinator.
Step 5
Outreach Coordinator will be removed and will get reflected in Outreach Coordinators Details list.
Step 6
Click on Logout button from top right corner to exit. or else continue with other scenarios

2.5 Add Documents/Guidance Materials

2.5.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Admin (Please follow the steps mentioned in 1)
Step 3
Click on Manage Documents button from left menu bar.
Step 4
Click on Add Document button.
Step 5
Enter the type of the file, example: Attendance Sheet, Virtual Labs Handout etc.
Step 6
Click on Browse button to select the file from file system and click on Upload button.

Note Allowed file formats are: [txt, pdf, png, jpg, jpeg, gif, csv, doc, docx]

Step 7
Newly added Document will be added at the end of the Document Details list.
Step 8
Click on Logout button from top right corner to exit. or else continue with other scenarios

2.6 View Documents/Guidance Materials

2.6.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Admin (Please follow the steps mentioned in 1)
Step 3
Click on Manage Documents button from left menu bar.
Step 4
Click on View button beside each document.
Step 5
The Document will be opened in new window.

Note If the document size is heavy, then the document will be downloaded.

Step 6
Click on Logout button from top right corner to exit. or else continue with other scenarios

2.7 Delete Documents/Guidance Materials

2.7.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Admin (Please follow the steps mentioned in 1)
Step 3
Click on Manage Documents button from left menu bar.
Step 4
A Delete button is available beside each document. Click on Delete button to delete a particular document.
Step 5
Click on Logout button from top right corner to exit. or else continue with other scenarios

2.8 My Profile

2.8.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Admin (Please follow the steps mentioned in 1)
Step 3
Click on My Profile to view the details of an Admin.
Step 5
Click on Logout button from top right corner to exit.

3 Outreach Coordinator Scenarios

3.1 Dashboard

3.1.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
LogIn as Outreach Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Dashboard button from left menu bar.
Step 4
Outreach Coordinator Dashboard will show the following Details:
  1. Total Number of Workshops
  2. Total Number of Experiments
  3. Total Number of Participants
  4. Total Number of Nodal Centres
Step 5
Click on Logout button from top right corner to exit. or else continue with other scenarios

3.2 Add Workshop

3.2.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Outreach Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Manage Workshops button from left menu bar.
Step 4
Click on Add Workshop button.
Step 5
Enter the following details to create a New Workshop and Click on Submit button. (All fields are mandatory except Gateway IP for online workshops)
  • Workshop Version - <online/offline>
    online
    Virtual Labs are accessed from the internet.
    offline
    Virtual Labs are accessed from college cloud HDD(Internet connection is not required to access the labs)
  • Workshop Name - <workshop name>
  • Location of Workshop - <location of workshop>
  • Participating Institutes - <participating institutes>
  • Number of Expected Participants - <number of expected participants>
  • Number of Sessions - <number of sessions>
  • Duration of Each Session - <duration of each session>
  • Number of Labs Planned - <number of labs planned>
  • Date of Workshop - <date of workshop>
  • Gateway IP of College - <gateway ip of college> (optional field for online workshops)
Step 6
Newly added Workshop will appear under My Workshops section if the workshop date is future. or else if the workshop is already done, it will appear under Workshop History section.
Step 7
Click on Logout button from top right corner to exit. or else continue with other scenarios

3.3 Edit Workshop

3.3.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Outreach Coordinator (Please follow the steps mentioned in section 1)
Step 3
Click on Manage Workshops button from left menu bar.
Step 4
Click on Edit button to edit the details of a Workshop.
Step 5
Update any of the following details of the Workshop and Click on Submit button.
  • Workshop Version - <online/offline>
    online
    Virtual Labs are accessed from the internet.
    offline
    Virtual Labs are accessed from college cloud HDD(Internet connection is not required to access the labs)
  • Workshop Name - <workshop name>
  • Location of Workshop - <location of workshop>
  • Participating Institutes - <participating institutes>
  • Number of Expected Participants - <number of expected participants>
  • Number of Sessions - <number of sessions>
  • Duration of Each Session - <duration of each session>
  • Number of Labs Planned - <number of labs planned>
  • Date of Workshop - <date of workshop>
  • For online workshop
    • Gateway IP of College - Click on Get Gateway IP button to get the gateway ip of college where the workshop is conducted. Note This feature is useful only if you are in the site where the workshop is being conducted.
    • Copy & paste the obtained gateway ip address into the input field.
    • Usage from Online Feedback
    • Click on Compute Usage button to get the Usage from online feedback which is auto populated based on given workshop date and college gateway ip
    • Usage from Paper Feedback - <usage from paper feedback> Note Update this field if the online usage is not correct.
  • For offline workshop
    • Enter the College MAC Address value which is obtained when the workshop was conducted at the college. Visit More information on getting MAC address
    • Click on Compute Usage button to get the Usage from college cloud feedback which is auto populated based on given workshop date and mac address.
Step 6
Updated Workshop will appear under Upcoming Workshops section if the workshop date is future. or else if the workshop is already done, it will appear under Pending Action Workshops section.
Step 7
Click on Logout button from top right corner to exit. or else continue with other scenarios

3.4 Add Nodal Centre

3.4.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Outreach Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Manage Nodal Centres button from left menu bar.
Step 4
Click on Add Nodal Centre button to add new Nodal Centre.
Step 5
Fill the details of the Nodal Coordinator and Click on Submit button. (All fields are mandatory)
  • Centre Name - <nodal centre name>
  • Centre Location - <nodal centre location>
  • Pincode - <nodal centre pincode>
Step 6
Newly added Nodal Coordinator will be added at the end of the Nodal Centres Details list.
Step 7
Click on Logout button from top right corner to exit. or else continue with other scenarios

3.5 Edit/Update the Details of Nodal Centre

3.5.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Outreach Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Manage Nodal Centres button from left menu bar.
Step 4
Click on Edit button to edit the details of an Nodal Centre.
Step 5
Update any of the following details of the Nodal Coordinator and Click on Submit button. (All fields are mandatory)
  • Centre Name - <nodal centre name>
  • Centre Location - <nodal centre location>
  • Pincode - <nodal centre pincode>
Step 6
Updated details of Nodal Centre will be reflected in Nodal Centres Details list.
Step 7
Click on Logout button from top right corner to exit. or else continue with other scenarios

3.6 Delete Nodal Centre

3.6.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Outreach Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Manage Nodal Centres button from left menu bar.
Step 4
Click on Delete button to delete a Nodal Centre.
Step 5
Nodal Centre will be removed and will get reflected in Nodal Centres Details list.
Step 6
Click on Logout button from top right corner to exit. or else continue with other scenarios

3.7 Add Nodal Coordinator

3.7.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Outreach Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Manage Nodal Coordinator button from left menu bar.
Step 4
Click on Add Nodal Coordinator button to add new Nodal Coordinator.
Step 5
Fill the details of the Nodal Coordinator and Click on Submit button. (All fields are mandatory)
  • Coordinator Name - <nodal coordinator name>
  • Nodal Centre Name - <nodal centre name>
  • Email - <nodal coordinator email>
  • Target Workshops - <number of target workshops>
  • Target Experiments - <number of target experiments>
  • Target Participants - <number of target participants>
Step 6
Newly added Nodal Coordinator will be added at the end of the Nodal Coordinators Details list.
Step 7
Click on Logout button from top right corner to exit. or else continue with other scenarios

3.8 Edit/Update the Details of Nodal Coordinator

3.8.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Outreach Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Manage Nodal Coordinator button from left menu bar.
Step 4
Click on Edit button to edit the details of an Nodal Coordinator.
Step 5
Update any of the following details of the Nodal Coordinator and Click on Submit button. (All fields are mandatory)
  • Coordinator Name - <nodal coordinator name>
  • Nodal Centre Name - <nodal centre name>
  • Email - <nodal coordinator email>
  • Target Workshops - <number of target workshops>
  • Target Experiments - <number of target experiments>
  • Target Participants - <number of target participants>
Step 6
Updated details of Nodal Coordinator will be reflected in Nodal Coordinators Details list.
Step 7
Click on Logout button from top right corner to exit. or else continue with other scenarios

3.9 Delete Nodal Coordinator

3.9.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Outreach Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Manage Nodal Coordinators button from left menu bar.
Step 4
Click on Delete button to delete a Nodal Coordinator.
Step 5
Nodal Coordinator will be removed and will get reflected in Nodal Coordinators Details list.
Step 6
Click on Logout button from top right corner to exit. or else continue with other scenarios

3.10 Add Workshop Reference Documents

3.10.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Outreach Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Reference Documents button from left menu bar.
Step 4
Click on Add Document button.
Step 5
Enter the type of the file, example: Attendance Sheet, Photo etc.
Step 6
Click on Browse button to select the file from file system and click on Upload button.

Note Allowed file formats are: [txt, pdf, png, jpg, jpeg, gif, csv, doc, docx]

Step 7
Newly added Document will be added at the end of the My Documents list.
Step 8
Documents uploaded by Admin is available to view under Admin Documents section.
Step 9
Click on Logout button from top right corner to exit. or else continue with other scenarios

3.11 View Workshop Reference Documents

3.11.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Outreach Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Reference Documents button from left menu bar.
Step 4
Click on View button beside each document.
Step 5
The Document will be opened in new window.

Click on Logout button from top right corner to exit. or else continue with other scenarios

4 Nodal Coordinator Scenarios

4.1 Dashboard

4.1.1 Steps

Step 3
Click on Dashboard button from left menu bar.
Step 4
Outreach Coordinator Dashboard will show the following Details:
  1. Total Number of Workshops

  3. Total Number of Participants

4.2 Add Workshop

4.4 Upload Workshop Reports

4.4.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Nodal Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Manage Workshops button from left menu bar.
Step 4
Click on Pending Action Workshops section from right menu bar.
Step 5
Click on Upload Reports button to upload the reports of a Workshop.
Step 6
Three different sections will appear as Upload Photos, Upload Attendance Sheets and Upload College Reports.Click on Browse button to select the files from file system. All three sections are mandatory. Click on Upload button.

Note Allowed file formats are: [txt, pdf, png, jpg, jpeg, gif, csv, doc, docx]

Step 7
Click on Logout button from top right corner to exit. or else continue with other scenarios

4.5 View Workshop Reference Documents

4.5.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Nodal Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Documents button from left menu bar. The documents uploaded by Admin and Outreach coordinator will appear in two separate sections as Admin Reference Documents and Outreach Coordinator Reference Documents
Step 4
Click on View button beside each document.
Step 5
The Document will be opened in new window.

Note If the document size is heavy, then the document will be downloaded.

Step 6
Click on Logout button from top right corner to exit. or else continue with other scenarios

4.6 View Outreach Coordinator Details

4.6.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Nodal Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Contact Outreach Coordinator button from left menu bar. The Contact Details section will appear with the following details:
  • Name - <outreach coordinator name>
  • Email - <outreach coordinator email>
  • Institute Name - <institute name>
Step 4
Click on Logout button from top right corner to exit. or else continue with other scenarios

4.7 View Nodal Center Details

4.7.1 Steps

Step 1
Go to the URL http://outreach.vlabs.ac.in/
Step 2
Login as Nodal Coordinator (Please follow the steps mentioned in 1)
Step 3
Click on Nodal Centers button from left menu bar. The Nodal Center Details section will appear with the following details:
  • Name - <Nodal Center Name>
  • Location - <Nodal Center Location>

Click on Logout button from top right corner to exit.
